User Management
User
In user management, you will find all configuration options for new or existing users and teams. You can add new users here.
Under user administration, you can manage user profiles and edit user types or user rights. You can create teams and manage the users within your teams.
You can add users or location contacts with the round plus button.
In the filter bar above the user list, you can filter according to a wide range of criteria. Currently visible filters with # at the beginning are technical default filters that have no relevance for you (e.g. #RATING or similar).
Fields created in the user profile are automatically transferred to the filter list. This means you can also filter according to self-generated criteria.
You can perform the following actions via the action menu which appears as soon as you move the mouse over the column heading:
- Hide columns
- Column settings (show or hide user data as a column)
- Pin column to left
- Pin column to right
Column sorting
You can drag and drop the columns in the title area with the mouse and place them where it suits you. This allows you to create your own personal column view, which is always saved live. So if you come back to the view later, you will find your personal sorting and column settings again.
You can import new users via the action menu in the gray area.

Here you can perform the following actions with the users you have previously selected in the user overview:
- Add users to a project
- Add users to a team
- Reset rating
- Delete user
- Delete user data in accordance with the rules
- Lock users
- Unblock users
- Send onboarding e-mail
- Send email with customized content: Here you can send all selected users a standardized email (e.g. a new job posting with a request to contact you). Enter the email subject at the top and personalize the email content at the bottom with snippets such as #UserFirstName, send it and the email will be sent to all selected users.
Clicking on the name of a user opens the user profile. A user profile consists of numerous data that may be relevant for usage and billing purposes. Users can generally be differentiated according to their user type and user rights. The user type defines the basic orientation of the user.
The tabs are structured as follows and can be maintained with all of the user’s data. To do this, you must activate profile editing in the action menu.

Here you have the option of marking the user who works for a contractor. This means that no commissions and expense prices are displayed for this user. You can also configure here whether or not the user can accept contracts, and you can assign subcontractors to the location contact person under Client for the following subcontractors.

In this action menu you can reset the user’s rating or individualize user profiles.
Individualize user profiles
You can show or hide user data such as image gallery or payment data & tax for the promoter by selecting show tab in user profile.
You can save a configuration of the data field under each data field:
- Show in user profile
- Show in SedCard
- Mandatory field
If a round plus button appears next to a category heading, you can add your own fields.
The following data is required:
- Field name
Enter a meaningful name here so that users understand what data you need from them - Technical field name (only letters and numbers without spaces)
Enter a short form of the field name here, which may be required later for imports and exports or API access. - Field type
Select your desired field type here from text, text area, radio button, checkbox (multiple selection possible) or sequence. - Brands
A brand assignment is relevant here.
1. agency users
Agency users can be e.g. promoters or agency employees (bookers, accountants, generally admins). Agency users work per se for the agency or an industrial company, which usually also licenses the EMPPLAN instance.
2. brand users
Brand users or customer users are usually clients of the agency or internal as well as external field service employees or even leasing travelers. If a client wants to have access to the performance of ongoing projects, for example, this is the right type of user. If you or your customer employs merchandisers or sales representatives, these should also be created as brand users.
This user type has the unique selling point that it can be limited per se to brands, projects, channels and territories. It is therefore not enough to create a user with this type and a suitable right. The user must then also be assigned to brands, projects, channels and territories, but at least to one of the aforementioned types.
For example, Max Mustermann is assigned to brand X, project Y and territory Z. Only then can Max view project performance and events in his KPI dashboard or in the calendar, naturally restricted and in line with his area of responsibility.
3. location users
Location users are usually people who work for a location. This can be, for example, a permanently employed salesperson or a store manager. If they are interested in which events booked via EMPPLAN take place in their area, you can create users for these people. Of course, it is important that these users are also associated with one or more locations.
4. location contact person
Location contact persons can be the same persons as location users. However, if there is no need for them to log in to EMPPLAN, select Location contact as the user type. You can then store a shortened form of the user profile so that you always have all the contact details of your contacts to hand.
In addition to the user type, each user must also be assigned a user right. There can be an unlimited number of user rights – according to your needs. All modules can be configured individually with regard to their authorization for each user right. Please contact EMPPLAN Support, who will be happy to create the required rights for you.
A user right defines, for example, the exact role of the user and specifies what they can do in the app. For example, there is a right called “Promoter” in the basic configuration. With this right, promoters can accept events and work on them. However, they cannot create or reschedule events independently. Only team leads can do this.
Teams
Here you can create your own teams and see how many and which users are assigned to each team. When you click on a team that has already been created, a user list opens and the users assigned to this team are displayed. A user can be assigned to several teams. The last column “Teams” therefore shows you all the teams to which the respective user is assigned.
Actions in the team list
With the round plus button you can add teams.
You can change the team name here.
You can search for team names here.
Here you can delete selected teams.
